Presenter FAQs

Where do I check in?

When you arrive, please check in at the registration and information area in JBWS 180. You will receive a welcome letter with important information, a meal voucher, and your conference t-shirt.

Where am I presenting?

All sessions will take place in the John Brooks Williams North and South Buildings (JBWN and JBWS). As of May 24th, all presenters have been notified of their room assignment. If you did not receive a room assignment or an acceptance/rejection notification, please contact christopher.martell@austinisd.org. [view campus on Google maps]

How can I share my presentation materials with teachers?

We ask that presenters upload their materials, including slides, handouts, or links, to a shared Google folder that we will make available to teachers. Please try to have your materials uploaded by Monday, August 1st. Please follow the instructions below.
 

  1. Please click the folder link provided in your presenter information email message (Subject: Austin Area STEM Conference: Presenter Information, PLEASE SAVE). If you need to request the link again, please email  christopher.martell@austinisd.org

  2. If not already signed in, please sign into your Google account by clicking the "Sign In" button located in the top-right corner. 

  3. Click the "Add to Drive" button located in the top-right corner

  4. Click the "Open in Drive" button located in the top-right corner. 

  5. Click on "New" and the select "Folder". Please Name the folder with the title of your presentation. 

  6. Open the folder you just created and drag and drop any relevant files into the folder.

If you are uncomfortable using Google Drive, you may email your documents to christopher.martell@austinisd.org as an attachment. Please include the title of your session in the body or subject line of your email.

Where do I park?

Presenters may park for free in any lot designated a "All Permits" or "Resident Student" parking. [view campus parking map]

Can I arrive early to setup or drop off materials?

Yes. Doors will open daily, August 3rd - 5th, at 7:30 am and sessions will not begin until 9:00 am. Also, conference staff will be onsite between 8:00 and 11:00 am on Monday, August 2nd to setup for the conference; you may stop by during that time as well to drop off materials.

What technology will I have access to in my room?

All rooms are equipped with a projector, speakers, and a PC computer, which will be unlocked for use during the conference. You as well as your participants will have access to free WiFi as well. Most rooms also have a document camera. If you indicated you required a document camera and one is not present in your room, then one will be provided. If you requested iPads or Chromebooks for your session, they will be present in your room before your session.

What materials will be provided?

Each room will include a presenter kit that includes post-it notes, markers, glue or tape, and chart paper.

How do I submit materials to be printed?

Should you require printed handouts for your session, please complete the print request form. You will pick up your printed materials when you check in. Please, no posters. All requests must be received by July 20th, 2016. 

How many participants should I anticipate?

It's difficult to predict, but you can view a list of room capacities here.

Will I need to record attendance?

Yes; however, we plan to provide a web-based system that attendees can use to sign into each session. Information will be forthcoming. 

 

Can I ship/mail materials ahead of time?

Yes. Please ship materials to the following address:
